1. Introduction

This Privacy Notice explains how Hello Vietnam collects, uses, shares and protects personal data through our website, https://hellovietnam.in/, and related communication channels. It is issued in accordance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”).

2. Personal Data We Collect

When you submit an enquiry or contact us through our website, we collect:

  • Full name
  • Email address
  • Phone number
  • Company or organisation name
  • Travel requirements, destination preferences, approximate travel dates and group size

When you visit our website, we automatically collect:

  • IP address and approximate location derived from it
  • Browser and device type
  • Pages visited, time spent and referring source

3. Purpose of Processing

We process personal data to:

  • Respond to enquiries and prepare proposals, itineraries and quotations
  • Coordinate with hotels, transport operators, guides and other suppliers to deliver requested services
  • Send newsletters and marketing communications, where you have opted in
  • Understand how our website is used and improve it
  • Meet applicable legal, tax and regulatory obligations

4. Consent

We process your personal data on the basis of the consent you give when you submit an enquiry form, subscribe to our newsletter, or otherwise contact us and provide your details.

You may withdraw your consent at any time by contacting our Grievance Officer (Section 6). Withdrawal does not affect the lawfulness of processing carried out before withdrawal, and does not affect data we are required to retain under law.

5. Your Rights

Under the DPDP Act, you have the right to:

  • Access — obtain a summary of the personal data we hold about you and how it is being processed (Section 11)
  • Correction and erasure — have inaccurate or incomplete data corrected, and have data erased where it is no longer required (Section 12)
  • Grievance redressal — raise a concern about how your data is handled (Section 13)
  • Nominate — nominate another person to exercise these rights on your behalf in the event of your death or incapacity (Section 14)

To exercise any of these rights, contact our Grievance Officer using the details below. If you are not satisfied with our response, you may lodge a complaint with the Data Protection Board of India.

7. Data Retention

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, or for as long as required under applicable Indian tax, company and accounting law. Once no longer required, it is securely deleted or anonymised.

8. Cookies and Website Analytics

Our website uses cookies and similar technologies. Essential cookies are required for the site to function, including page caching, session management and security.

We also use Google Analytics 4, a service provided by Google LLC, to understand how visitors use our website — including pages visited, time spent, traffic sources and approximate location derived from IP address.

Our website includes an interactive map built using Leaflet, with map tiles supplied by CARTO. When this map loads, your IP address and basic usage information may be visible to those providers.

You can control or disable cookies at any time through your browser settings. Disabling certain cookies may affect website functionality.

9. Sharing and Cross-Border Transfer

We do not sell or rent personal data. Personal data may be shared, and processed outside India, in the following circumstances:

  • Enquiry details may be shared with hotels, transport operators, local guides and other ground service suppliers in Vietnam, Cambodia, Laos and other destinations relevant to your enquiry, in order to prepare proposals or deliver requested services
  • Google LLC processes website analytics data on servers located outside India
  • Where you contact us via WhatsApp, your messages are processed through Meta’s platform in accordance with Meta’s privacy policy
  • Where disclosure is required by law or a competent authority

These countries may not have data protection laws equivalent to those in India. We share only the minimum information necessary for the stated purpose.

10. Security

All communication between your browser and our website is encrypted using SSL/TLS. No method of transmitting or storing information over the internet can be guaranteed to be completely secure.

11. Changes to This Notice

We may update this Privacy Notice to reflect changes in our practices or applicable law. The revised version will be published on this page with an updated “Last updated” date.
